As an Administrative Support Specialist, you will:

  • Develop and implement quality control systems to ensure correspondence and communications are in compliance with relevant agency guidance and properly reflect internal policies and procedures.
  • Use document tracking/workflow software to transmit and receive correspondence to and from other offices within the organization.
  • Research, assemble, and summarize information from files and documents; inform and update management on matters of special interest.
  • Provide on-going support and guidance on administrative matters related to internal time and attendance, travel, payroll, and acquisitions systems.
  • Work closely with staff to coordinate and implement important policy initiatives; researches a variety of administrative management directives and operating procedures.
  • Maintain scheduling for senior leadership and manages appointment calendars; including reserving conference rooms, gathering and assembling background and presentation materials, notifying participants, and following-up on commitments.
  • Plan and arrange travel details for official trips; coordinates domestic/international travel, prepare necessary country clearance requests, travel authorizations, and finalizes travel vouchers.
  • Procure and maintain an inventory of office supplies for headquarters; acquire goods and services for all of OIG headquarters through the use of the government purchase card.
  • Responsible for preparing and timely submission of the unit's timesheets.
  • Receive and route all correspondence (e.g., internal memos, external mail, packages, etc.) through internal tracking systems.
  • Prepare quality reports and publications by using office automation software and equipment.
  • Screen and verify visitors; ensure that proper credentials are granted for external guests.
